JOB TITLE: Office Administrator (Assistant to Executive Director)
REPORTS TO: Executive Director
The Office Administrator supports the organization by assisting the director in advancing F.O.C.U.S.'s mission and goals to build a sustainable community by enabling citizens to work together with government, organizations, and businesses to improve the quality of life and economic future of all the citizens. The Office Administrator has opportunities to meet with and work with key local, national, and international leaders to further F.O.C.U.S.'s mission.
Position Responsibilities:
- Manage the F.O.C.U.S. office
- Answer phones, take accurate messages
- Maintain inventory of supplies
- Maintain accurate, current contacts on Outlook data base
- Assist with fundraising event(s)
- Prepare materials for meetings, Citizens Academy, and guests
- Filing, record keeping, recording and composing meetings' minutes
- Provide basic accounting/ bookkeeping using Quickbooks
- Keep informed of all F.O.C.U.S. activities, be able to answer questions
- Maintain F.O.C.U.S. website - entries and deletions
- Arrange physical setup for meetings - keep inventory of supplies (coffee, snacks, paper supplies)
- Work with interns and volunteers
Qualifications:
- A positive attitude about Central New York - "Be+"
- Good oral and written skills
- Knowledge of Quickbooks and simple bookkeeping
- Ability to enter information on website and delete as needed
- Attention to details
- Sensitivity and understanding of people of many cultures, economic levels, and life styles
- Flexible - ability to move from one task to another with ease/available for special meetings
- Ability to work independently
Work Schedule:
- 35-40 (flexible hours) work week - 7:00 a.m. session once a month - compensatory time given
- Office must be open and phones covered during regular office hours.
- Schedule can be flexible if arranged in advance with the Director
Salary Range:
- Commensurate with experience, compensation is negotiable
- Excellent benefits package if needed
